Privacy Policy · School App

Effective: October 9, 2026

Welcome to School App ("we", "our", or "us"). We provide an intuitive school management and student record management solution. We are committed to protecting your personal information and your right to privacy. This Privacy Policy explains what information we collect, how we use it, how it is protected, and how you can exercise your rights, including data deletion, in compliance with applicable data protection laws and the Google Play Developer Policy. By using School App, you agree to the collection and use of information in accordance with this policy to provide, maintain, and improve our school administration services.

1. Information We Collect

We collect information strictly necessary to provide, maintain, and improve our school administration services:

A. Information Collected via Authentication (Google Sign-In)

When you register or log in using Google Sign-In, we collect:

  • Name — to personalize your user profile
  • Email Address — used as your unique account identifier and for critical communications
  • Profile Picture URL — used to display your avatar inside the app
  • Google User ID / Firebase UID — a unique identifier generated to securely associate your account with your school records

B. Educational & School Management Data

School administrators and authorized teachers enter and manage operational records within the app, which are stored securely in Google Cloud Firestore:

  • School Information — school name, contact number, address, and institutional logo
  • Class & Section Data — class names, divisions, and subjects
  • Student Information — student name, roll number, admission number, date of birth, gender, parent/guardian names, address, contact phone number, and student profile photos
  • Attendance Records — daily attendance status (present, absent, leave) for students and staff
  • Academic & Exam Data — exam schedules, marks, grades, and report card details
  • Fee & Payment Records — fee structures, payment statuses, receipt numbers, and transaction amounts

C. Photos, Files & Media

  • Camera and Gallery Access — with your permission, the app accesses your camera and photo library to allow you to upload student profile pictures, school logos, or scan QR codes. Photos are stored securely in Firebase Storage
  • Documents & PDF Generation — the app generates and exports student ID cards, fee receipts, and CSV reports locally on your device or allows saving them

D. Device & Technical Information

  • Device Identifiers — device model, operating system version, and unique device IDs
  • Advertising ID (AD_ID) — used by integrated communication and notification libraries (e.g., OneSignal) to ensure reliable notification delivery and anonymous crash analytics. It is not used for third-party advertising or ad targeting
  • Network & Connection Status — to manage online/offline data synchronization between local Hive database and Cloud Firestore

2. How We Use Your Information

We use the collected data strictly for educational administration and app functionality:

  • Authentication & Profile Setup — to verify your identity and manage login sessions securely
  • Data Synchronization — to sync school data, attendance, and fee records securely between your devices and the cloud
  • Push Notifications — to deliver important announcements, system updates, and school alerts via OneSignal / FCM
  • App Performance & Security — to monitor system health, fix bugs, and prevent unauthorized access or abuse

No Selling of Data

We do not sell, rent, or trade any personal information or student data to third-party advertisers or data brokers.

3. Third-Party Service Providers

To operate effectively, School App integrates trusted third-party SDKs that may process data on our behalf in compliance with privacy regulations:

  • Google Play Services & Google Sign-In — authentication and system services (https://policies.google.com/privacy)
  • Google Firebase (Firebase Auth, Cloud Firestore, Firebase Storage) — cloud database, file storage, and authentication infrastructure (https://firebase.google.com/support/privacy)
  • OneSignal — push notification delivery service (https://onesignal.com/privacy_policy)

4. Data Security & Storage

  • Encryption in Transit — all communication between the app and our backend/Firebase servers is encrypted using industry-standard Transport Layer Security (HTTPS/TLS)
  • Cloud Security Rules — Firestore and Firebase Storage utilize strict security rules to ensure that only authenticated school administrators can access their respective institutional data
  • Local Storage — local offline data is cached securely using Hive DB on the user's device

5. Data Retention and Account Deletion Policy

We strongly believe in your right to control and delete your data at any time.

Option 1: In-App Deletion (Recommended)

  • Open School App
  • Go to Settings (or Profile)
  • Scroll down and tap "Delete Account"
  • Confirm your request

6. Children's Privacy (COPPA & Educational Records)

School App is an administrative management tool intended for use by school administrators, principals, teachers, and adult staff. It is not directed at children under the age of 13 for independent, unsupervised account creation.

Any information regarding minor students (such as names, attendance, and grades) is entered and managed solely by authorized school administrators or teachers in accordance with their institutional consent and educational duties. We do not knowingly collect personal information directly from children under 13 without verifiable parental/school consent.
